Wholesale for Hotels & Designers: A Fast Spec Sheet Template (So You Get Approved Faster)

Win hospitality orders with a clear spec sheet

Hotels and designers don’t just buy products—they buy a plan: sizes, finishes, quantities, packaging, and delivery timeline. A clear spec sheet speeds up approvals and reduces revisions.

  • Finish (natural/colored/custom)

Why hospitality orders stall

Hospitality and interior projects rarely fail on price. They stall because a specifier cannot get an answer fast enough to hold their own deadline, and the item gets substituted for something a competitor could document. A complete spec sheet is not administration — it is how you stay in the project.

The three questions that decide the timeline

Do you need a physical sample approved?

Almost every hospitality project does, and it is the step most often left out of the schedule. Add three to four weeks for sample production and courier delivery, before production even starts.

Is the quantity fixed or phased?

A 400-unit order delivered at once and a 400-unit order across four phases are different production plans and different prices. Tell us at the start, not after the first delivery.

What tolerance can you accept?

These items are handwoven. A 40 cm basket will vary by a centimetre or two between pieces, and that variance is the character the designer specified. But if your installation has a fixed alcove, say so — we will weave to a tighter tolerance and price accordingly. Discovering this at delivery is the expensive way.

Lead times, realistically

  • Stock items — typically two weeks to dispatch.
  • Custom sizes or finishes — four to eight weeks depending on quantity and season.
  • Large phased projects — scheduled against your site programme; we hold artisan capacity once the deposit is placed.

Ramadan and the summer weeks affect artisan availability. If your project lands near either, tell us early and we will schedule around it rather than discovering the constraint mid-production.

Send the sheet

Fill in the template above and send it with your deadline. We have supplied hotel groups, restaurant fit-outs and event programmes for over a decade, and the projects that run smoothly are without exception the ones that started with a complete brief.
